Please familiarize yourself with the Hotel Regulations
In our apartments, we have implemented a Minor Protection Policy aimed at ensuring the safety of all persons under 18 years of age staying on the premises. These principles are implemented in accordance with the amendment of the act of July 28, 2023, which modifies the act of May 13, 2016, concerning the prevention of sexual offenses and the protection of minors. According to the applicable policy, our employees are required to verify the identity of minor guests by checking an ID card, passport, or school ID. Additionally, guardians who are not parents must have written authorization to care for the child. - General Information
- This document regulates the rules for making reservations, cancellations, payment methods and deadlines for the reservation, confirmation of the reservation and complaints at Stradonia Serviced Apartments, ul. Stradomska 7, 31-068 Krakow, tel. + 48 12 311 19 11 email booking@stradonia.com (hereinafter: the "Facility").
- Prices shown on the Facility's website are gross prices (including VAT).
- The transaction is made in PLN currency. Prices shown in other currencies are indicative and converted at an approximate rate.
- The reservation agreement is concluded with the operator of the online reservation system (PROFITROOM Sp. z o.o. with its registered office at ul. Roosevelta 9/3, 60-829 Poznan, entered in the register by the District Court Poznan Nowe Miasto and Wilda, VIII Commercial Division of the National Court Register under no. 0000303746, hereinafter: the "Operator") acting on behalf of and for the Facility operated by Cameo Investments sp. z o.o. with its registered office in Krakow, ul. Stradomska 7, 31-068 Krakow, registered in the National Court Register under KRS number 0000254020.
- Complaints
- If the Client notices defective performance of the contract (i.e. not in accordance with the reservation terms and the description of the service/product on the Facility's website) during the service, they should immediately notify the service provider (directly at the Facility's reception, by email at booking@stradonia.com or by phone at + 48 12 311 19 11).
- The time to consider the submitted complaint is 14 days.
- Any refund resulting from a complaint will be made in a manner corresponding to the original payment method (e.g. for card payments – to the card account, in case of transfer – to the bank account from which the transfer was made).
- Cancellation of Reservation
- Reservations can be canceled independently via the reservation system (a link to manage the reservation is included in the confirmation email) or reported to the Facility's reception by phone or email.
- The cost of cancellation is determined by the conditions of the offer in which the reservation was made.
- If the Client is entitled to a refund due to reservation cancellation, it will be made in a manner corresponding to the original payment method (e.g. card payments – to the card account, in case of transfer – to the bank account from which the transfer was made) within 7 days.
- To make a reservation, full prepayment for the entire stay is required via the online payment system. In case of cancellation or no-show on the day of arrival, the prepayment will be forfeited.

[Data Controller]

II [Personal Data Processing]
The controller processes personal data for the following purposes:
1. Personal data such as first name, last name, registered office address, residential address, PESEL number, identity document number, registration data for the purpose of providing apartment rental services throughout the rental period.
2. Personal data related to payments contained in transfer data for the entire rental period.
3. Personal data included in accounting, bookkeeping and tax documentation of the controller and in banking systems and documents – to fulfill obligations under law, in particular accounting act, tax ordinance, corporate income tax act and VAT act (Art. 6 para. 1 lit. c GDPR) – for 5 years from the end of the respective financial year.
4. Personal data will also be processed by the controller for potential claims or defense against claims based on the controller's legitimate interest and in accordance with applicable national law, especially the Civil Code (Art. 6 para. 1 lit. f GDPR) – for 3 years after termination of the rental agreement, provided that if proceedings are ongoing, this period may be extended until the final conclusion of the proceedings and expiry of new limitation periods.
5. CCTV recordings to ensure property security, tenant safety and information based on the legitimate interest of the controller and tenant (Art. 6 para. 1 lit. f GDPR) – for 1 month from recording.
III [Disclosure of Personal Data]
1. The controller does not disclose personal data to other entities except:
a. State authorities to whom the controller is obliged to disclose data, in particular Ministry of Finance and other tax authorities.
b. Banks where the controller holds accounts, regarding transactions made.
c. Postal and courier companies.
2. Personal data may be disclosed to cooperating entities based on written data processing agreements for performing specific tasks and services for the controller, especially IT support, accounting, legal or advisory services, CCTV monitoring service, property manager.
IV [Rights of Data Subjects]
1. Every data subject has the right to:
a. Access – to obtain confirmation from the controller whether personal data concerning them are being processed. If data is processed, they have the right to access and receive information on the purposes of processing, categories of personal data, recipients or categories of recipients, storage periods or criteria, rights to rectification, deletion or restriction of processing, and to object to processing (Art. 15 GDPR).
b. Receive a copy – to obtain a copy of the processed data, where the first copy is free, and subsequent copies may be charged a fee of 50 PLN (fifty zloty 00/100) to cover administrative costs (Art. 15 para. 3 GDPR).
c. Rectification – to request correction of inaccurate or incomplete data (Art. 16 GDPR).
d. Erasure – to request deletion of their personal data if the controller no longer has a legal basis or data is no longer necessary (Art. 17 GDPR).
e. Restriction of processing – to request limitation of processing when:
i. The data subject contests accuracy of data permitting the controller to verify,
ii. The processing is unlawful and the data subject objects to deletion and requests restriction,
iii. The controller no longer needs the data but the data subject requires them for establishing, exercising or defending claims,
iv. The data subject has objected to processing pending verification whether legitimate interests of controller override those objections.
f. Data portability – to receive personal data provided to the controller in a structured, commonly used and machine-readable format and request transmission to another controller if processing is based on consent or contract and is automated (Art. 20 GDPR).
g. Objection – to object to processing for legitimate interests due to particular situation, including profiling. The controller will assess whether legitimate grounds override the interests, rights or freedoms of the data subject or the basis for claims. If interests of data subject prevail, processing must cease (Art. 21 GDPR).
2. To exercise these rights, the data subject should contact the controller using provided contact details and specify which right and to what extent they want to exercise.

Final Provisions- The reservation agreement is considered concluded upon sending a reservation confirmation to the client’s email address.
- The client does not have the right to withdraw from a contract concluded outside the business premises or at a distance under Art. 38 para. 12 of the Consumer Rights Act of 30 May 2014 (Journal of Laws 2014 item 827).
- The client is responsible for correctly filling out the reservation form. The Facility is not responsible for incorrect data entry or incorrect selection of arrival or departure dates.
- The Facility has the right to provide a service of similar standard on the reservation date if execution of the reserved service is impossible.
- A total ban applies on the Facility premises for persons not registered at Stradonia Serviced Apartments.
- Selecting the option "I have read and accept the Reservation Terms and Conditions at Stradonia Serviced Apartments and the offer conditions" means the client has read the Terms and Conditions, understands them, agrees to the conditions contained, and accepts the terms of the chosen offer. Lack of such acceptance will prevent making an online reservation.
